This Privacy and Cookies Notice explains how the Primacy ITS website (“Primacy ITS”, “we”, “us” or “our”) collects and uses personal information. It applies to website visitors, newsletter subscribers and people who submit a question. It is intended to provide a clear UK/EU data-protection baseline and to explain additional rights that may apply elsewhere.

1. Who is responsible for your information

Primacy ITS is operated by Winston Brown, who is the controller responsible for the personal information described in this notice.

2. Information we collect

We collect information in three main ways:

• Newsletter information: your email address, any name you choose to provide, subscription choice, consent record, and email delivery or engagement events such as bounces, opens, clicks and unsubscribes where those features are enabled.
• Questions and correspondence: your name, email address, the message you submit, and any later correspondence about it.
• Website and device information: IP address, approximate location derived from IP, browser and device type, pages and referring URLs, dates and times, cookie identifiers, consent choices, and technical, fraud-prevention or security logs.

We collect form information directly from you. Website and device information is collected automatically by our site platform and security tools.

Please do not submit passwords, authentication codes, confidential business information, or sensitive personal information through the question form.

3. Why we use information and our legal bases

• Send and manage the newsletter: to deliver The Solo IT Admin Brief, record your preferences, manage delivery and let you unsubscribe. For UK/EEA data-protection purposes, promotional email is based on your consent. You can withdraw that consent at any time.
• Review and respond to a question: to read your submission, decide whether and how to respond, prevent misuse, and identify topics that may be useful for future general guidance. We rely on our legitimate interests in communicating with readers and improving the publication. Submitting a question does not subscribe you to marketing.
• Operate and secure the website: to provide pages and forms, diagnose faults, protect the site and users, prevent spam or abuse, and maintain records of consent. We rely on our legitimate interests in operating a reliable and secure publication and, where relevant, compliance with legal obligations.
• Optional analytics: to understand how the site is used and improve content. Where consent is required, we use non-essential analytics only with your consent.
• Legal and administrative purposes: to respond to valid rights requests, comply with law, and establish, exercise or defend legal claims. We rely on legal obligations and our legitimate interests in protecting our rights.

Providing information through either form is voluntary. If you do not provide an email address, we cannot deliver the newsletter or contact you about a submitted question.

4. Newsletter choices

The newsletter form asks for a separate, affirmative email opt-in. We do not use a question-form submission as permission to send marketing. You can unsubscribe at any time using the link in any newsletter or by emailing the privacy contact above. Withdrawing consent does not affect processing that was lawful before withdrawal.

We may retain a minimal suppression record after an unsubscribe so that we can respect the request and avoid sending further marketing to that address.

5. Questions and editorial use

A submitted question is not a request for emergency, managed or guaranteed technical support. We may use the subject of a question to inform general educational content. We will not publish your name, email address, organisation details or identifiable message without asking you first. Where practical, themes used for editorial planning will be anonymised or aggregated.

6. Cookies and similar technologies

The site uses technologies needed to deliver pages, forms, security and your privacy choices. It also uses, or may use, optional analytics technologies to understand site usage.

• Strictly necessary and security: required for site delivery, form operation, fraud prevention, consent records and security. Form pages use Google reCAPTCHA to help detect automated abuse.
• Analytics: HubSpot analytics may measure visits and interactions. Where prior consent is required, these technologies are controlled by the cookie banner and used according to your choice.
• Advertising: we do not currently intend to use advertising or cross-site behavioural advertising cookies.

You can accept, decline or change non-essential cookie choices using the Cookie Settings control in the site footer. Browser settings can also delete or block cookies, although blocking necessary technologies may affect site operation.

7. Who receives information

We disclose personal information only as needed to operate the site and meet legal responsibilities, including to:

• HubSpot, which provides website hosting, forms, CRM, analytics and marketing-email services;
• Google, which provides reCAPTCHA on forms;
• other technical, security or professional advisers acting for us where reasonably necessary; and
• regulators, courts, law enforcement or other parties where disclosure is required by law or necessary to protect legal rights.

We do not sell personal information. We do not currently share personal information for cross-context behavioural advertising.

8. International transfers

Our service providers may process information in countries outside your own, including the United States. Where UK or EEA transfer rules apply, transfers must be supported by an adequacy decision or appropriate contractual and organisational safeguards, such as approved standard contractual clauses and the UK International Data Transfer Addendum or another valid transfer mechanism. You may ask the privacy contact for more information about safeguards relevant to your data.

9. How long we keep information

• Newsletter records: while you remain subscribed. After unsubscribe, we keep only what is reasonably necessary to honour the opt-out, maintain delivery records and demonstrate compliance.
• Questions and correspondence: normally deleted after 730 days of inactivity, unless a longer period is needed to meet a legal obligation or establish, exercise or defend a legal claim.
• Cookie and analytics data: for the lifetimes described in the cookie settings and applicable provider documentation; aggregate or anonymised statistics may be kept longer.
• Technical, security and rights-request records: only for as long as reasonably necessary to secure the service, investigate incidents, answer a request, meet legal obligations or protect legal rights.

HubSpot is configured to delete inactive contact records after 730 days. A minimal suppression record may be retained where necessary to honour an unsubscribe, and deletion from backups may occur on the next normal backup rotation.

10. Your privacy rights

Depending on where you live and the law that applies, you may have rights to ask us to:

• confirm whether we process your information and provide access to it;
• correct inaccurate or incomplete information;
• delete information;
• restrict processing;
• provide certain information in a portable format;
• withdraw consent at any time; and
• object to certain processing.

Your right to object: where we rely on legitimate interests, you may object based on your situation. You can object to direct marketing at any time, and we will stop using your information for that purpose.

To exercise a right, use our Data Privacy Request form or email privacy@primacyits.com. We may ask for information reasonably needed to verify your identity and locate the relevant records. Rights can be subject to legal exceptions.

If you are in the UK, you may complain to the Information Commissioner’s Office (ICO). If you are elsewhere, you may also complain to the data-protection authority where you live or work.

11. Additional US state privacy information

If a US state privacy law applies to us and to your information, you may have additional rights such as knowing or accessing categories and specific pieces of information, correction, deletion, portability, opting out of sale or targeted-advertising sharing, limiting certain uses of sensitive information, appealing a decision, and freedom from discrimination for exercising a right. We do not currently sell personal information or share it for cross-context behavioural advertising, and we do not intentionally collect sensitive personal information through these forms.

You may submit an applicable request using the privacy contact or Data Privacy Request form above. We will honour recognised browser-based opt-out signals where required by law and relevant to our processing.

12. Automated decisions

We do not use personal information to make decisions based solely on automated processing that produce legal or similarly significant effects.

13. Children

This site is intended for a professional audience and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has submitted information, contact us so that we can review and delete it where appropriate.

14. Security

We use reasonable technical and organisational measures intended to protect personal information. No internet service is completely secure, so please avoid sending information the forms do not request.

15. External links and changes to this notice

The site may link to third-party websites that have their own privacy practices. We are not responsible for their notices or content.

We may update this notice when our services, providers or legal obligations change. We will post the revised version here and change the “Last updated” date. If a change materially affects how we use information already collected, we will provide additional notice where required.
